Privacy Policy

This Privacy Policy explains how SoloOp collects, uses, and protects your information when you use the SoloOp mobile application, web dashboard, and related services (the "Service").

1. Information We Collect

We may collect the following categories of information:

  • Account information — email address, business name, and full name
  • Business data — client names, addresses, job details, invoices, quotes, expenses, and notes you enter into the Service
  • Location data — your business address and GPS coordinates used for route optimisation and scheduling
  • Financial data — invoice amounts, payment history, and expense records (card numbers and bank details are handled exclusively by Stripe and are never stored by SoloOp)
  • Contact information — phone number (optional, used for business communications)
  • Usage data — app interactions, feature usage, and error logs used to improve the Service

2. How We Use Information

We use your information to:

  • Provide and operate the Service
  • Authenticate users and manage accounts
  • Process payments and generate invoices on your behalf
  • Send transactional emails to your clients (invoices, booking confirmations, reschedule notices)
  • Improve performance, reliability, and features
  • Communicate about account or service updates

3. Data Storage and Regional Processing

Your data is stored using Supabase (hosted on AWS) across regional projects to keep your data close to you:

  • Australia / New Zealand — AWS ap-southeast-2 (Sydney)
  • United States / Canada — AWS us-east-1 (N. Virginia)
  • United Kingdom / Europe — AWS eu-west-2 (London)

Your region is determined during signup based on your location. Your data remains in your assigned region.

We take reasonable steps to protect your data, including encryption in transit and at rest, row-level security policies, and access controls. However, no system can guarantee absolute security.

4. Sharing of Information

We do not sell your personal or business data.

We may share information only:

  • With service providers necessary to operate the Service (see Third-Party Services below)
  • With your accountant, if you grant them portal access
  • With your clients, when you send them invoices, quotes, or booking confirmations through the Service
  • If required by law or to protect the safety of our users

5. Third-Party Services

SoloOp relies on the following third-party services to operate:

  • Supabase — database hosting, authentication, and serverless functions (regional — see Section 3)
  • Stripe — payment processing, Connect accounts, and payouts. Stripe's privacy policy applies to all payment data. SoloOp never stores card numbers or bank details.
  • Resend — transactional email delivery (invoices, reminders, confirmations)
  • Google Maps Platform — address autocomplete and route calculations
  • Cloudflare — regional routing and DNS
  • Expo / EAS — mobile app build and over-the-air update delivery

Each provider processes data under their own privacy policies and terms.

6. Cookies and Web Analytics

The SoloOp web application uses essential cookies for authentication and session management only. We do not use third-party tracking cookies or advertising pixels.

7. Data Retention

We retain your data while your account is active and for a reasonable period after cancellation to comply with legal and financial record-keeping obligations.

You may request deletion of your data by contacting us. Certain records (such as payment transaction history) may be retained as required by law.

8. Your Rights

Regardless of where you are located, you may:

  • Access your data at any time through the app and web dashboard
  • Export your data via CSV export features
  • Request corrections to your account information
  • Request deletion of your account and associated data

Additional rights for UK and European users (GDPR):

If you are located in the United Kingdom or European Economic Area, you have additional rights under the General Data Protection Regulation, including the right to data portability, the right to restrict processing, and the right to lodge a complaint with your local data protection authority. SoloOp acts as a data processor for the client data you enter; you, as the operator, are the data controller for your clients' personal information.

Additional rights for California residents (CCPA):

If you are a California resident, you have the right to know what personal information we collect, request its deletion, and opt out of any sale of personal information. We do not sell personal information.

9. Children's Privacy

The Service is not intended for individuals under 18 years of age.

We do not knowingly collect data from minors.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated via email or in-app notification.
